1. Controller
SOLAR MAINTENANCE SOLUTIONS LIMITED (Company No. 13216999), Regus, Centenary Way, Salford, England, M50 1RF, is the controller of personal data collected through Swakis.com. Contact: [email protected].
2. Data we collect
When you submit an enquiry, we collect your name, email address, telephone number, selected area of interest, acknowledgement of this policy, submission time and basic technical/security information needed to deliver and protect the form. We may also retain subsequent correspondence and consultation notes.
3. Why and legal basis
We use the information to receive, review and respond to your requested solar or battery enquiry, discuss suitability and next steps, prevent abuse, maintain records and comply with law. The principal bases are taking steps at your request before a possible contract and our legitimate interests in responding to genuine enquiries, securing the service and keeping appropriate records. We do not treat acknowledgement of this policy as consent to unrelated marketing.
4. Form provider and recipients
The form is transmitted using Web3Forms, a third-party form-delivery provider, and delivered to the operator. Relevant data may also be processed by hosting, email, IT and professional-service providers acting under appropriate obligations. We do not sell enquiry data. We will not pass an enquiry to an independent installer or commercial partner unless this is explained and an appropriate legal basis applies.
5. International processing
Some service providers may process information outside the United Kingdom. Where required, we use a recognised transfer mechanism such as UK adequacy regulations or the UK International Data Transfer Agreement/addendum and proportionate safeguards.
6. Retention
Unsuccessful or inactive enquiries are normally retained for up to 12 months after the last meaningful contact. Records connected with a quotation, complaint, legal obligation or contract may be kept longer where reasonably necessary, normally up to six years. Security logs may be retained for a shorter period.
7. Your rights
Subject to UK GDPR conditions, you may request access, correction, erasure, restriction, portability or objection, and may withdraw consent where processing relies on consent. Use our Data Rights Request page or contact the operator. We may need to verify identity.
8. Complaints
Please contact us first so we can investigate. You may also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
9. Cookies and security
See the Cookie Policy. We apply reasonable organisational and technical measures, but no internet transmission can be guaranteed completely secure.
10. Changes
We may update this policy to reflect the service or legal requirements. The revision date above identifies the current version.
